By attending a taster session, or rehearsal, or by making payment, you (the “Member”) are confirming that you have read and agreed to the following Terms and Conditions.
Membership & Billing
Clapham Community Choir is an adult group so members must be over the age of 18.
Prospective members are invited to attend a free taster session. If an individual does not want to join after attending a free taster session - there is no charge. After attending one free taster session, the individual is not permitted to attend another free taster session with Clapham Community Choir for the remainder of the calendar year.
If the individual enjoys the session and decides that they would like to join Clapham Community Choir, they will be invited to start their membership.
Clapham Community Choir membership is paid by direct debit every month. Choir subscription fees are set by the Committee. Members will be provided with at least 40 rehearsals a year, and at least three performance and/or workshop opportunities.
Payment is made by Direct Debit through GoCardless (or any further alternative provider) as notified to members on joining (or on any change). The Direct Debit is taken securely and safely through GoCardless. GoCardless is sponsored by the Royal Bank of Scotland and is regulated by the Financial Conduct Authority (FCA). The member must ensure sufficient funds are available for the direct debit withdrawal. Any failed debits due to insufficient funds, card expiry, or any other reasons may result in a late fee of £5 to recoup the fees associated with failed debits.
If a member stops attending rehearsals but does not cancel their direct debit, payments will continue to be taken each month. Clapham Community Choir cannot offer a refund of these payments. Members are asked to provide the choir with 30 days’ notice in writing requesting a cancellation of their subscription.
Committee
As set out in its constitution (available here), Clapham Community Choir is administered by its committee. Members are eligible to stand for election to the committee.
Health & Safety
The health and safety of Clapham Community Choir members is of paramount importance. While Clapham Community Choir carries full Public Liability Insurance and each venue and event is risk assessed, it is the responsibility of every member to act responsibly and not risk the health and safety of themselves and/or others.
It is the responsibility of the members to make Clapham Community Choir aware of any relevant health issues that may hinder their performance at rehearsals and events. Please email info@singclapham.org - the information provided will be kept strictly confidential.
In the interest of all members' health and safety, if you are unwell we recommend staying home for that session.
Clapham Community Choir is not responsible for the loss or damage of the personal effects of members during rehearsals, performances or social events. Members are responsible for their own property and well-being whilst attending rehearsals and events.
Cancellations
If a rehearsal is cancelled or delayed in starting due to extreme weather conditions and/or any other circumstances out of our control (Music Director illness, unavailability, traffic), the monthly membership fee is not refundable. Clapham Community Choir reserves the right to cancel rehearsals at any time, although attempts will be made to avoid this. If a situation arises where the Music Director or rehearsal venue is unavailable, Clapham Community Choir will endeavour to reschedule the session or offer an alternative (either in person or online), however, this may not be possible. Clapham Community Choir aims to avoid disruption to the rehearsal and event schedule as much as possible.
Code of Conduct
Clapham Community Choir aims to create a safe, inclusive and positive environment for all. Members must adhere to the Code of Conduct (available here); in particular:
punctual attendance at rehearsals and events is encouraged.
members should treat with respect all fellow members, the Music Director and any other individual engaged by Clapham Community Choir.
Any behaviour deemed to be in breach of the Code of Conduct may (in accordance with that Code) result in the Committee requiring that member to leave the choir. No refund of membership will be given under these circumstances.
Clapham Community Choir cannot be held financially responsible for injury or damage caused by a member’s misconduct or inappropriate behaviour.
Accessibility & Inclusivity
Clapham Community Choir does not discriminate on the basis of ethnicity, gender, religion, sexuality or disability or any other “protected characteristic” under the Equality Act 2010. Every effort will be made by Clapham Community Choir to ensure that rehearsal and performance venues are fully accessible.
If members need to attend rehearsals with a carer - the carer is welcome to join for any rehearsal and will be given membership for free. Carers will be entirely responsible for the individual’s well-being and care through the rehearsal.

Publicity
By joining Clapham Community Choir, members are consenting to photographs and/or video footage being used for performances, rehearsals and social events for marketing and promotional purposes.
General Information
Please note Clapham Community Choir (acting through the Committee) reserves the right to update these Terms and Conditions at any time, without notice.

We do not sell or otherwise transfer your information to outside parties, apart from sharing data with trusted partners who help us in the essential functioning of the choir.
We use a range of third party services to help us run the choir including:
Squarespace, to host our website: www.claphamcommunitychoir.org / www.singclapham.org (both domains point to the same website).
Brevo, to manage membership and contacts and send emails (of an administrative or promotional nature)
GoCardless, to take subscription payments (your data will be processed by GoCardless. Learn more about their privacy policy here).
Google, to operate a shared drive for members and email for the choir's committee
We have recordings from YouTube hosted on our website. We can monitor these sources to see when people have listened to or watched one of our performances.
How long do we keep your data
We keep your personal data for no longer than is reasonably necessary.

Like many websites, we do use cookies. A cookie is a text file that is placed on your hard disk by a web page server. All information gathered is anonymous. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us. Punctuality and Attendance
Choir members are expected to attend rehearsals whenever possible at the direction of the Music Director. Lack of attendance at rehearsals may prevent members from participating in performances.
Members are expected to advise the Music Director as soon as practicable if they are unable to attend performances.
Members are expected to be punctual in attending rehearsals / concerts for the benefit of all.
Contribution at Rehearsals
Members should arrive focused and be willing to co-operate fully and respond to the direction provided by the Music Director during rehearsals and concerts at all times.
Members should understand that they are singing as part of a group and that their contribution is a valuable part of the whole sound of the choir.
Respect and Behaviour
All members have a duty of care to themselves and their peers and are expected to lead other singers by example with attendance, singing, and behaviour in rehearsals and concerts.
Members will follow the directions of the Music Director at all times and respect their decisions.
Members are responsible for their own actions and behaviour and should avoid any conduct which would lead a reasonable person to question their motivation or intentions.
Members are expected to behave in a mature, respectful, safe, fair and considered manner.
Members should respect each other and not seek to make derogatory remarks or ‘jokes’ to other members that are of a personal, sexual, racist, discriminatory, intimidating or otherwise offensive nature.
Members should discuss and/or take advice promptly from the Music Director or the Choir Committee about any incident which could give cause for concern. Such situations would be handled promptly by the Choir Committee in a sensitive way.
Breach of Code of Conduct
The Music Director and/or Choir Committee has the right to refuse participation in rehearsals and performances to a choir member who is reasonably suspected to be in breach of the Code of Conduct to allow any investigation necessary to be undertaken unhindered and without prejudice.
Any suspected breach of the code of conduct will be reviewed by the Choir Committee as soon as possible and appropriate action taken in accordance with dispute procedures.
Dispute Procedures
If after review a breach of the code of conduct is confirmed, the Choir Committee may consult with the member and give them a warning as well as counsel them as to the inappropriateness of the conduct and support them in making changes.
If the incident is considered by the committee to be a material breach of the code, or if the behaviour repeats following a warning, the Choir Committee has the right to terminate the member's participation in the choir.

1. Status
Clapham Community Choir (“the Choir”) is an unincorporated association run by its members (through a committee) for its members.
2. Aims
The Choir aims to enable people from all walks of life, without regard to musical experience and with no audition requirement, to take part in musical and associated social activities, and to contribute to cultural life in Clapham and other areas in and around the borough of Lambeth.
3. Membership
Membership is open to anyone who wishes to sing with a community choir, and who supports the aims of the Choir.
Membership is without formalities for joining or leaving. All who are currently active participants are deemed to be the members of the Choir for the time being. Members pay a fee for participation in Choir activities.
The Choir does not discriminate on the grounds of gender, race, colour, ethnic or national origin, sexuality, disability, religious or political belief, marital status or age.
4. Committee
The Choir is administered by a committee consisting of not less than four members of the Choir, together with the music director.
The committee will consist of members fulfilling the following roles:
Treasurer – managing the budget of the Choir including collecting subscriptions from members and paying bills.
Secretary – managing membership of the Choir (including liaison with potential new members and communications with members) and arranging committee and general meetings.
Social Media and Publicity – maintaining the website and promotion through the Choir's social media channels and other means.
Music – working with the music director on availability of scores, and rehearsal tracks, and including licence clearances.
Events – working with venues on planning and logistics for concerts and other events.
Socials – looking for, and arranging, socials to bond within the Choir and engage more closely with the wider Clapham community.
Membership of the committee for a forthcoming year is agreed at the Choir's annual general meeting and all members of the Choir are eligible to be on the committee. If more than one member wishes to stand for any particular role, then an election will be held. If vacancies arise between AGMs, then the committee may co-opt members to fill vacancies.
The quorum for committee meetings is 50% of the committee membership at the time.
The committee may, at its discretion, appoint one person to hold various roles. At the committee's discretion, two people may share a role on the committee.
The committee may conduct its business as it sees fit. Meetings of the committee may be chaired by any committee member, as the committee deems appropriate.
The committee has the discretion of setting the terms of membership of the Choir (consistent with this Constitution) including the Terms and Conditions and the Code of Conduct.
5. Finances
All money raised by or on behalf of the Choir is to be used only to further the aims of the Choir.
An account will be maintained in the name of the Choir at a bank agreed by the committee. The account will have at least two cheque signatories, nominated by the committee. Limits and conditions on signatory powers will be determined by the committee.
The committee is responsible for oversight of the financial affairs of the Choir, which will be managed on a day to day basis by the Treasurer.
The committee will decide the member subscription fees, the fee paid to the Choir leader, and any expenditure as may occur from time to time.
A record of income and expenditure will be maintained by the Treasurer. The Treasurer will give the committee a financial report once a quarter at an appropriate meeting (the first of each term or as otherwise agreed), and will provide an annual financial report within a reasonable time after the end of the ‘choir year’, 31st August. The committee may require that the annual accounts are submitted to independent examination.
The committee will make an annual financial report available to members of the Choir.
6. General Meetings
An annual general meeting will be held in the Spring of each year on a day determined by the committee. The annual general meeting will conduct the following matters:
Members will elect the committee for the forthcoming year.
The Committee will report to the members on its activities.
The Treasurer will report to the members on finance.
In addition, an extraordinary general meeting of the Choir may be called by the committee, or by a minimum of eight members of the Choir. Notice of such meeting will be given to the members of the Choir within twenty-one days of the request being made to the Secretary. The meeting will take place between fourteen and twenty-one days after such notification.
Such a general meeting may be called:
to deal with any special matter that the committee wishes to place before the members;
to remove any member or members of the committee from office and to fill any resulting vacancy or vacancies;
to deal with any special matter that the members of the Choir requiring the meeting wish to place before the members of the Choir.
The quorum for a general meeting (whether annual or extraordinary) will be 30% of the current membership of the Choir or 20 members, whichever is the greater number.
7. Conduct
Choir members must conduct themselves according to the Code of Conduct. Any behaviour breaking this code will be subject to the dispute resolution procedure outlined in the Code of Conduct.
8. Amendment to the Constitution
Amendments to the constitution agreed by the committee will be reported to the members of the Choir and will come into effect no less than three weeks after such report, provided that there is no objection. If appropriate a special General Meeting will be convened to consider the matter.
9. Dissolution
The decision at a general meeting that the Choir should close down will require a majority of 60% of those attending and voting.
Following such decision, the general meeting may require the committee to take the necessary actions, or may, if it deems this to be necessary, appoint a special dissolution committee of not less than three members of the Choir including the Treasurer.
In the event that the Choir is dissolved all remaining money and other assets, once outstanding debts have been paid, will be donated to a local voluntary and community group or charitable organisation, the organisation to be agreed (by majority vote) at the general meeting which determines the dissolution.
